Grace Office Supplies Ltd statement in relation to the EU GDPR – May 2018.
Effective from 25th May 2018 a new European Union (EU) data protection law, the General Data Protection Regulation (GDPR) makes it necessary for all business to review how they manage personal data. As such, here at Grace Office Supplies we are contacting our customers and suppliers in line with GDPR requirements to explain how we manage our contact data and what protections are in place to ensure your privacy.
What information is stored by Grace Office Supplies Ltd ?
Our customer and supplier records contain only information that has been voluntarily provided in order for customers or suppliers to trade with Grace Office. This includes for example business contact information, delivery addresses and item sales/purchase history. If a trading credit account application has been completed this is retained on file in line with accounting compliance purposes.
In addition to trading partners Grace Office Supplies maintains an in-house contact database for potential business contacts which have requested a sales contact from Grace Office Supplies. This list has been solely collected over time through involvement in industry trade events and where businesses may have made contact via our website or sales email.
Grace Office does not store personal information, nor will Grace Office Supplies seek out to collect any additional information on a business or individual other than what has been explicitly requested in order to provide a service or satisfy a customer enquiry.
How is this information secured?
We do not sell, disclose or otherwise trade information with any third parties. Grace Office maintains an in-house database that is secured by individual login profiles and other security measures to ensure only suitably authorised employees can access and maintain contact information.
Grace Office Supplies collects, maintains and deletes this information according to document control, confidentiality agreements and information technology policies which have been in place for some time. These policies are regularly reviewed internally and by third party organisations to ensure ongoing compliance with all applicable laws and regulations concerning data protection and security.
